The Agency Track

Your Agency Can Only Grow as Fast as You Can Carry It.

You built this agency by opening doors yourself. Your producers are good once they're in the room. The Agency Track builds the system that gets them in the room every week, then hands it to your team to run.

01 · The trap

The Owner Is the Pipeline

It's the end of the quarter. You pull up the pipeline and count the deals that are real. Most of them came through you: a referral you took, a CFO you've known for ten years, a renewal you saw coming.

Your producers had a strong month or two. Then their books got busy, and the new meetings stopped. So you do what you always do. You pick up the phone and fill the gap.

You've tried to fix it. Maybe you hired a producer with a great book, bought leads, or sent the team to a sales workshop. For two weeks everyone was fired up. Then Monday came back.

I call this the founder trap. It isn't a people problem.

Your producers aren't lazy, and they aren't bad at sales. Nobody ever handed them a system they could run. Who to go after, what to say, and when to say it all live in your head. As long as it stays there, the agency grows exactly as fast as you can carry it.

Left: every deal routes through the owner. Right: with the Pipeline Power System, every producer books their own meetings.

02 · One agency's story

What Changed When the System Moved Out of the Owner's Head

A regional benefits agency came to us with the same problem. Their producers weren't setting new-business appointments consistently, and the meetings they did get weren't turning into closed deals.

They had six producers at the time. Over the first 90 days we built the Pipeline Power System inside the agency, trained their leadership to run it, and coached every producer on working it. In month four we moved into ongoing coaching, so every producer was running the process on every deal.

Seven months in, here is where they stood.

$1.5M+in closed business across the agency
9producers running the system, up from six
1+qualified new-business appointment a week, for every producer

Nine producers. One system. A pipeline that runs whether the owner is in the room or not.

03 · What we build

Four Parts. One System. Built Inside Your Agency.

We build it with you and your leaders, hand it to your producers, and make sure your team can run it.

Clarity before pursuit

The Target Lock

Your agency's ideal account defined with precision: size, industry, pain, fit signals and the decision makers worth your team's time. Every producer's targets sit inside it.

14 touches · 40 days · 6 channels

The 1440

A prospecting sequence built and trained for your producer team, timed to renewal dates and x-dates. Every message gives value before it asks for anything.

First touch to close

The Value Cadence System

Your agency's standard for staying present from the first conversation to the closed deal. Each touch brings the prospect something worth opening.

AI amplifies all

The Force Multiplier

AI prompts rolled out across the team, so producers research and write faster in their own voice and spend more of the week with prospects.

04 · See it run

What Your Producers Actually Do Each Week

This is the engine. Every producer runs the same play, aimed at their own accounts.

The 1440: 14 touches over 40 days

Phone, email, LinkedIn, text, mail and in person, spaced so the prospect hears from you without being chased.

The 1440 timeline: 14 touches across 40 days in four stages, awareness, interest, consideration and commitment.

Swipe to see all 14 touches.

Why it works

Standard prospecting takes about 100 attempts to land one appointment. One 1440 batch of 20 target accounts books 3 to 4 first meetings, and nobody gets dropped.

Standard prospecting: 100 attempts for one appointment. One 1440 batch of 20: 3 to 4 book a first meeting, about 8 get on the phone, about 12 roll into the next cycle.

Swipe to compare both sides.

The Value Cadence: from booked meeting to signed

Between every meeting, the prospect gets something worth opening. No "just checking in."

The Value Cadence deal journey: booked meeting, initial meeting, gap one with value touches, discovery, gap two with confirmation and proof, final meeting, closed.

05 · Built for each producer

Every Producer Gets a Runbook Written for Them

A Personal Runbook with six sections: Target Lock, Message Spine, The 1440, The VCS, Pipeline Math and Lock-In.

Not a binder of templates. Each producer completes an intake: their accounts, their objections, their case stories. We turn it into a Personal Runbook they can run on Monday morning.

27scripts across the full 1440 and the Value Cadence, in their own voice
1runbook per producer, built from their own book and stories
Mathhow many conversations it takes to hit their goal, and how many hours a week that costs
Nothing reaches a prospect you haven't seen. Every runbook gets a red-flag review before it reaches a producer. We check every script for claims and promises your agency can't stand behind, and leadership gets a summary of anything we flagged.
Every producer also gets the Producer Coach inside Producer HQ: an AI coach built on their own runbook that drafts next touches from meeting notes, checks drafts and runs objection practice.

06 · How the build runs

From Your First Call to a Team That Runs It Without You

  1. Discovery call.I lead it personally. Twenty to thirty minutes, no pitch: where your new business comes from today and where it stalls.
  2. Your agency's foundation. We define the agency Target Lock with you and your leaders, and every producer completes their intake.
  3. Four live build sessions. One part of the system per session. Your producers build while we teach, and I work directly with you and your key producers.
  4. Runbooks land and the team runs it.Each producer starts working their Personal Runbook. Weekly forum calls keep them on it with role-play, live deals and accountability.
  5. You own it.Every deliverable is yours. The system runs through your producers, not through you. If you want us to stay in the room while your team grows into it, that's the Scale Track.

07 · In their words

What It Sounds Like From Inside the Agency

"Every one of us on Monday morning we're talking about these things and we're trying to help each other. So now we have someone else outside of the four walls. So when I used to own restaurants, sometimes you don't see the dirt in the corner because you're there seven days a week. Well, now Ryan is in the restaurant with us, and he's going, 'Dude, you realize you got dirt in that corner? You didn't say this. You didn't listen for that,' and that is very, very helpful."

Managing Partner, Benefits Agency

"I think my biggest takeaway is that we don't have to completely rebuild it; we just have to refine it. That's a lot less overwhelming."

Producer, Benefits Agency

"Getting first appointments has become much easier. Pipeline is filled up and I'm doing better than I ever have during my five years in this business."

08 · The fit

Is the Agency Track Right for You?

This is for you if

  • You own or lead a benefits or commercial P&C agency with a producer team.
  • You're still the main source of new business, and you want that to change.
  • Your producers are good in the room and inconsistent at getting there.
  • You'll protect time every week for your team to run the system.

This isn't for you if

  • You run a personal-lines-only agency.
  • You want tactics without changing how your team works.
  • You'll commit to the sessions but not to the work between them.

09 · Questions

What Agency Leaders Ask Before We Start

How much of my time does this take?

The heaviest commitment is the four live build sessions. After that, the weekly forum calls are for your producers, and the system runs through them, not through you.

What if my producers resist doing things a new way?

Every engagement includes coaching support and weekly forum calls built for adoption: role-play, real-time troubleshooting and accountability. Producers who see qualified meetings landing on their calendar tend to stop resisting fast.

We already have a sales process. Why would we need this?

Most agencies we work with do, and it usually works well once a producer is in the room. The Pipeline Power System builds the part most processes skip: who to pursue, how to open the door, and how to stay present until the prospect is ready to move.

How is payment structured?

A deposit to begin, with installments tied to build milestones. We scope the investment to your team on the discovery call.

What's the difference between the Agency Track and the Scale Track?

The Agency Track builds the system, hands it to your producers and makes sure your team can run it. The Scale Track adds us staying in the room after the build: ongoing coaching, a monthly leadership call and an accountability structure while your team grows into it.
